Recruit AI is seeking a highly organized and professional Personal Assistant to provide comprehensive administrative support to the Company Secretary. This role involves managing schedules, coordinating meetings, handling correspondence, and maintaining accurate records to ensure the smooth operation of the Secretariat Office. The ideal candidate will have excellent communication skills, strong organizational abilities, and the discretion to handle confidential information. With 2 to 5 years of relevant experience, this position requires proficiency in MS Office and a professional demeanor suitable for interacting with internal departments and external stakeholders. The Personal Assistant plays a crucial role in streamlining daily operations by preparing meeting agendas and minutes, coordinating travel logistics, and managing official documents. This position requires a proactive individual capable of multitasking and maintaining a high level of accuracy in a fast-paced environment. The successful candidate does not manage a team but must work collaboratively across the organization to support the Company Secretary effectively.
Responsibilities
 

  • Manage and maintain the Company Secretary's calendar, including appointments and meetings to ensure efficient time management.
  • Prepare detailed meeting agendas, document minutes accurately, and follow up on action items to support decision-making processes.
  • Draft, review, and oversee correspondence, reports, and official documents to maintain professionalism and accuracy.
  • Coordinate communications and schedules with internal departments and external stakeholders on behalf of the Company Secretary.
  • Maintain confidential records, files, and corporate documents with strict adherence to privacy and security protocols.
  • Arrange travel plans, accommodation, and logistical support for the Company Secretary as required.
  • Handle incoming calls, emails, and visitor coordination professionally, representing the Secretariat Office with discretion.
  • Assist in organizing Board, Committee, and management meetings, ensuring all logistical and documentation needs are met.
  • Ensure proper documentation and record management consistent with organizational policies and compliance standards.
  • Perform additional administrative and secretarial duties as assigned to support the overall functioning of the Secretariat.
