Job Description

GSF Services SMC PVT LTD seeks a detail-oriented and proactive Accounts and Operations Executive to act as a vital link between the Accounts and Operations departments. This role focuses on managing costs, supporting daily accounting tasks, overseeing documentation, and facilitating efficient communication within the teams. The ideal candidate brings solid experience in invoice processing, accounts receivable and payable processes, and proficient use of invoice management and accounts payable automation software. With at least one year of relevant experience, the role demands meticulous attention to detail, strong organisational skills, and a customer-focused communication style. This position works primarily in an office setting and requires a commitment to punctuality and teamwork, contributing positively to company efficiency and cost control efforts.
Responsibilities
 

  • Accurately enter all job-related costs into the operations software and verify cost information within 15 minutes of receipt to maintain data accuracy.
  • Raise disputes for incorrect supplier charges and maintain an ongoing log to support audit and complaint resolution activities.
  • Work in close collaboration with the Operations team to monitor and reduce unnecessary or additional costs for improved financial efficiency.
  • Prepare and dispatch customer invoices promptly within agreed timelines using invoice management software and ensure timely collection through accounts receivable processes.
  • Assist the accounting department with daily reconciliations, generating financial reports using in-house systems and related accounting tools, and distribute weekly customer statements to maintain accurate records.
  • Provide general accounting support during peak periods to ensure smooth financial operations and meet deadlines.
  • Organise and maintain comprehensive job folders and related documentation as per company standards to facilitate easy retrieval and auditing.
  • Communicate professionally and promptly with customers by emailing invoices and supporting documents and addressing queries with a positive, solution-focused approach.
  • Guide the operations teams in the selection and management of reliable, cost-effective service providers to optimise operational expenses.
  • Source and manage competitive haulage and delivery rates, especially for port-to-postcode shipments, by building and sustaining a robust supplier base to encourage competition and cost reduction.
  • Contribute to the export department efforts by assisting in acquiring economical freight rates to support broader company logistics and financial goals.
  • Engage in cross-departmental coordination to undertake additional tasks assigned by management aimed at enhancing efficiency and driving cost savings within operations and financial activities.
  • After mastering operational and accounting responsibilities, provide assistance in social media marketing by posting company updates, advertisements, and promotional content to support brand visibility and outreach efforts.
  • Maintain a friendly, professional, and customer-focused communication style internally and externally, ensuring excellent written and verbal communication in English.
  • Demonstrate a strong can-do attitude with eagerness to learn from senior colleagues and support junior staff, fostering a collaborative and positive work environment.
  • Adhere to the company work schedule from Monday to Saturday, 12:00 PM to 10:00 PM Pakistan Time, maintaining high punctuality, reliability, and a strong sense of teamwor
