About the Role

We are looking for a highly organized, proactive, and self-driven Remote Dental Office Manager to become the operational backbone of our virtual front office. This role is ideal for someone who takes ownership, works independently, and enjoys solving problems without waiting for direction.

While previous dental experience is highly preferred, we are equally interested in candidates who are exceptionally resourceful, learn new systems quickly, and take initiative to continuously improve processes. If you are someone who naturally researches solutions, adapts quickly, and consistently goes above and beyond, we'd love to meet you.


 

Key Responsibilities

Patient Communication & Scheduling

  • Answer incoming phone calls, emails, and text messages professionally and courteously.
  • Schedule, confirm, reschedule, and coordinate patient appointments.
  • Optimize the provider's schedule to maximize productivity while minimizing downtime.
  • Deliver outstanding customer service and maintain positive patient relationships.

Insurance, Billing & Collections

  • Verify dental insurance eligibility and benefits prior to patient appointments.
  • Review and communicate insurance breakdowns accurately.
  • Manage patient billing, statements, and payment collections.
  • Follow up on outstanding balances professionally and efficiently.
  • Learn and take ownership of dental insurance claim submissions, claim follow-ups, and denial resolution.

Practice Operations

  • Maintain accurate patient records and documentation.
  • Ensure daily administrative workflows run efficiently.
  • Identify operational inefficiencies and proactively recommend improvements.
  • Support the team with additional administrative tasks as needed.

Software & Technology

  • Use Dentrix as the primary practice management software.
  • If unfamiliar with Dentrix, demonstrate the ability to quickly become proficient through self-learning using online resources, documentation, and training materials.
  • Quickly learn and adapt to new software and digital tools as needed.


 


 

Required Qualifications:

  • Previous experience working for a U.S.-based client in an administrative, office management, customer service, healthcare support, or dental office role.
  • Experience using Dentrix or a similar dental practice management software.
  • Excellent written and verbal English communication skills.
  • Strong organizational and time management skills.
  • Ability to multitask while maintaining exceptional attention to detail.
  • Strong problem-solving and critical-thinking abilities.
  • Comfortable working independently in a fully remote environment.

Work Schedule and Compensation:

Monday: 6:30am - 2pm PST

Tuesday: 7:30am - 5:30pm PST

Wednesday: 7:30am - 5:30pm PST

Thursday: 7:30am - 5:30pm PST

Friday: 6:30am - 2pm PST

USD 750 $ for the first 3 months (this will be increased after the probation period is done)
