Full job description

SHINE Humanity Pakistan is seeking profile for a Senior Executive Administration to independently manage all administrative and facility operations across our organization. This is a hands-on role, overseeing offices, clinics, vendor management, utilities, security, and support staff to ensure smooth, efficient, and compliant operations.

Location: Clifton, Karachi

Key Responsibilities:

  • Facility & Office Management: Maintain head office and clinic facilities, ensuring a safe, clean, and efficient environment.
  • Repair & Maintenance: Coordinate preventive and corrective maintenance (electrical, plumbing, HVAC, general repairs) with vendors to minimize downtime.
  • Security Management: Implement and monitor security protocols across all locations.
  • Transport & Fleet Management: Oversee pick-and-drop arrangements and fleet operations, including vehicle allocation, logs, fuel, and maintenance.
  • Utilities Management: Manage utility services, billing, new connections, and issue resolution (electricity, water, gas, internet).
  • Vendor & Contract Management: Maintain vendor relationships, contracts, and ensure timely renewals and compliance.
  • Inventory Planning: Manage office supplies procurement and inventory with cost efficiency.
  • Water & Essential Services: Ensure uninterrupted provision of water and essential services through vendor coordination.
  • Event & Administrative Support: Handle logistics and administrative aspects of organizational events.
  • Staff Supervision: Supervise support staff (office riders, watchmen, housekeeping, etc.) to ensure operational efficiency.
  • Compliance & Documentation: Maintain proper records, documentation, and compliance with organizational standards.
  • Must be willing to travel.

Qualifications & Skills:

  • Bachelor’s degree in Business Administration or related field (Master’s preferred).
  • Proficiency in MS Office; additional certifications or diplomas are a plus.
  • 4–6 years of experience in administration or facility management, preferably handling operations independently.
  • Strong organizational, coordination, and problem-solving skills.
  • Ability to manage multiple functions and vendors efficiently.
