Payroll Coordinator

Role Summary

The Payroll Coordinator processes accurate, on-time, semi-monthly payroll for resources placed by the client and carried on the client's payroll, across the US and other global geographies (contractors are concentrated in the US and EMEA, APAC, MENA, and India). The role ensures every pay cycle is compliant with wage-and-hour and tax regulations in each contractor's jurisdiction.


 

Key Responsibilities

  • Process end-to-end semi-monthly payroll for client-payrolled contractor resources across the US and other supported countries.
  • Collect, validate, and reconcile approved timesheets against client contracts and pay rates prior to each payroll cutoff.
  • Calculate regular pay, overtime, bonuses, commissions, reimbursements, and applicable deductions accurately for each pay cycle.
  • Coordinate with Finance to confirm payroll funding and ensure timely disbursement to contractors.
  • Ensure payroll compliance with US federal, state, and local wage-and-hour laws, and with relevant EMEA/other country payroll regulations, escalating to legal/compliance where needed.
  • Liaise with local payroll vendors/PEOs/Employer-of-Record partners for jurisdictions requiring in-country payroll administration.
  • Set up new hires in the payroll system in coordination with the Onboarding Coordinator, and process final pay/terminations in coordination with the Offboarding Coordinator.
  • Respond to and resolve contractor payroll queries and discrepancies (pay, deductions, tax withholding) promptly and professionally.
  • Maintain accurate payroll records and generate regular payroll reports for Finance and HR leadership.
  • Reconcile payroll data against the general ledger with the Finance team each cycle.
  • Administer statutory and voluntary deductions/benefits withholdings where applicable.
  • Support year-end and statutory tax documentation for contractors (e.g., W-2/1099 for US resources, local equivalents elsewhere).
  • Stay current on payroll compliance changes across supported US states and countries, and update internal processes accordingly.
  • Support internal and external payroll audits with accurate, timely documentation.


 

Required Qualifications

  • Bachelor's degree in Finance, Accounting, HR, or a related field.
  • 2–5 years of payroll processing experience; multi-state and/or multi-country payroll exposure strongly preferred.
  • Hands-on experience with payroll systems (e.g., ADP, Paychex, Deel, or similar) and semi-monthly payroll cycles.
  • Working knowledge of US payroll tax fundamentals and wage-and-hour requirements (e.g., FLSA).
  • Strong Excel and numerical accuracy skills; comfortable reconciling large data sets under deadline pressure.
  • High discretion in handling confidential compensation data.


 

Preferred Qualifications

  • Staffing/contingent-workforce industry payroll experience.
  • Exposure to EMEA payroll or Employer-of-Record (EOR) models.
  • Certified Payroll Professional (CPP) or equivalent is a plus.

Timings: 5:45pm till 2:15am
