Simpalm Staffing is actively recruiting an Operations Coordinator on behalf of one of our direct clients in the United States — a fast-growing consulting, coaching, and executive advisory firm. This is a full-time, fully remote position requiring a seasoned professional who can hit the ground running with minimal oversight.


 

This is not an entry-level role. Our client is looking for a strategic thinker and strong executor who thrives in a fast-paced environment, takes ownership of outcomes, and consistently delivers high-quality work under tight deadlines.


 

What You'll Do

  • Operations Management: Serve as the operational backbone for a dynamic executive team — managing day-to-day priorities, tracking projects and deadlines across multiple clients, identifying and resolving bottlenecks, and building systems that scale. You'll be expected to anticipate needs and take initiative without waiting for direction.
  • Project Coordination: Own end-to-end coordination of internal and client-facing projects. Maintain project management systems, manage timelines, follow up with stakeholders, and ensure every deliverable moves efficiently from planning through completion.
  • Executive Support: Partner closely with leadership on operational and strategic initiatives. Coordinate meetings and schedules, prepare polished executive materials, manage agendas and follow-up actions, and handle confidential information with full professionalism and discretion.
  • Client Delivery Support: Support seamless client onboarding and implementation. Serve as a key liaison between leadership, internal team members, and clientsensuring commitments are met, requests are handled promptly, and the overall client experience remains exceptional.
  • Presentation Development: Transform raw ideas, notes, and information into executive-level, client-ready presentations. You'll be responsible for maintaining brand consistency, ensuring visual quality, and delivering polished slide decks under tight turnaround times.
  • Systems & Process Improvement: Document SOPs, streamline workflows, identify automation opportunities, and maintain organized business records. Continuously look for ways to improve execution and support the firm's scalability.

 

Required Experience & Qualifications:

  • Minimum 8 years in operations, project management, executive support, or business operations
  • Proven experience supporting executives, consultants, or professional service firms
  • Demonstrated ability to manage multiple priorities independently and without constant supervision
  • Strong problem-solving and critical-thinking capabilities
  • Exceptional attention to detail and organizational skills
  • Excellent written and verbal English communication

  • Project management and coordination

  • Process documentation and workflow improvement
  • Calendar and task management
  • Microsoft Office and Google Workspace proficiency
