Job Description

Drop Coffee is seeking a confident, proactive, and highly organized Admin Assistant to oversee daily operations across all its outlets and support key administrative tasks. This role requires a motivated individual who takes full ownership of responsibilities, communicates clearly, and efficiently manages schedules, meetings, and coordination efforts without needing constant supervision. The ideal candidate will bring strong organizational skills, a problem-solving mindset, and the ability to handle multiple priorities seamlessly. In addition to managing communications and appointments, the Admin Assistant will be responsible for maintaining smooth operational flow by staying in continual contact with outlet teams and quickly resolving any issues that arise. This position involves managing a team of approximately 20 employees, requiring leadership capabilities to ensure staff follow-up and operational tasks are completed effectively. The Admin Assistant will act as a vital link between different teams and outlets to guarantee consistent communication and coordination. Experience in administration or operations is preferred, along with expertise in calendar management, email management, data entry, and payroll tools. The role calls for a dependable professional who is comfortable making decisions independently while providing excellent customer service and supporting executive-level administrative functions. The position is full-time and based in Karachi, ideal for someone eager to embrace leadership in a dynamic coffee shop environment.
Responsibilities
 

  • Oversee and coordinate the daily operations of all Drop Coffee outlets, ensuring objectives and standards are met consistently.
  • Manage a team of 20 staff members by providing clear instructions, maintaining communication, monitoring progress, and supporting staff development.
  • Maintain constant communication with outlet teams to ensure smooth operational execution and quickly resolve any operational issues.
  • Efficiently manage calendars, including scheduling meetings, appointments, and coordinating team activities across multiple locations.
  • Handle incoming phone calls and email communication in a professional and timely manner to support internal and external stakeholders.
  • Coordinate efforts between different teams and outlets to facilitate seamless workflow and problem-solving.
  • Assist in employee management tasks, including coordination of schedules, attendance tracking, and support with payroll management tools.
  • Perform data entry tasks accurately to maintain up-to-date records regarding operations, staff activities, and other administrative data.
  • Take ownership of personal administrative tasks as required by senior management to support the organizations executive functions.
  • Demonstrate strong initiative by independently identifying issues, proposing solutions, and implementing improvements without direct supervision.
  • Follow up consistently with staff to ensure task completion and provide timely updates on operational status to management.
  • Deliver excellent customer service by managing queries, complaints, and requests with professionalism and efficiency.
  • Maintain confidentiality and professionalism when handling sensitive information related to the company and employees.
  • Ensure compliance with company policies, procedures, and relevant regulations in all administrative and operational functions.
  • Contribute to continuous improvement of administrative processes by suggesting and helping implement efficiencies.
