Icon Consultant seeks an organized and personable Receptionist to effectively manage front desk operations and serve as a welcoming first point of contact for clients and visitors. The ideal candidate demonstrates excellent multitasking abilities and strong communication skills to handle inquiries, direct calls, and support daily administrative tasks with efficiency. This role requires a presentable personality and a positive attitude to maintain a professional and friendly office environment. The Receptionist plays a crucial role in ensuring smooth office functioning by managing telephone systems, scheduling appointments, and maintaining records. The position demands competency in basic computer applications such as MS Office and Microsoft Outlook to facilitate communication and documentation. Candidates with at least one year of experience and education in commerce or business administration are preferred, emphasizing interpersonal skills and a professional demeanor.
Responsibilities
 

  • Greet and receive visitors in a courteous and professional manner.
  • Answer, screen, and forward incoming telephone calls using established telephone systems.
  • Schedule and coordinate appointments and meetings efficiently.
  • Maintain and update visitor logs and office records with accuracy.
  • Perform basic administrative tasks such as data entry, handling correspondence, and preparing documents using MS Office and Microsoft Outlook.
  • Manage front desk area to ensure it is tidy and welcoming at all times.
  • Assist with the distribution of mail and deliveries to appropriate staff members promptly.
  • Use effective communication to relay messages and information to relevant personnel.
  • Handle inquiries and provide accurate information regarding company services or policies.
  • Support office staff by preparing reports, managing supplies, and coordinating maintenance when required.
  • Maintain confidentiality of sensitive information and adhere to company protocols.
  • Demonstrate professionalism and positivity to enhance the companys image and promote a welcoming atmosphere.
  • Work collaboratively with other departments to facilitate smooth office operations.
  • Adapt to multitasking demands, prioritizing tasks to meet deadlines effectively
