We are currently hiring a Virtual Medical Assistant—a backend support role responsible for managing documentation workflows, maintaining accurate patient records, and ensuring providers are prepared for every appointment.
Role Overview
The Virtual Medical Assistant operates behind the scenes to ensure that clinical and administrative workflows run cleanly, consistently, and without interruption.
This role sits at the intersection of documentation, coordination, and execution—supporting providers by maintaining organized, accurate, and up-to-date patient records within the EHR.
What You’ll Be Doing
EHR Documentation & Chart Management
- Upload, organize, and maintain patient records including labs, referrals, intake forms, and supporting documents
- Ensure all documentation is properly labeled, categorized, and easy to retrieve
- Prepare patient charts ahead of scheduled visits to ensure provider readiness
Workflow & Task Management
- Monitor task queues within the EHR and complete assigned documentation workflows
- Track pending items such as referrals, labs, and follow-ups to ensure nothing is missed
- Route tasks appropriately to maintain continuity across teams
Internal Coordination & Communication
- Communicate with providers and internal teams to resolve missing or incomplete documentation
- Route internal messages and updates based on established workflows
- Ensure handoffs between departments are clean, timely, and accurate
What We’re Looking For
Core Skills
- Comfortable working within EHR or similar digital systems
- Strong documentation handling and record management ability
- Understanding of structured workflows and task tracking systems
- Ability to manage multiple administrative tasks simultaneously
- Awareness of HIPAA and data confidentiality standards

- Organized and process-driven in handling repetitive workflows

Baseline Requirements (All Roles)
- Comfortable with digital tools (EHR/CRM and documentation systems)
- Proficient in Google Workspace / Microsoft Office
- Familiar with communication tools (Slack, Zoom, Teams)
- Able to manage tasks using structured workflows or trackers
- Strong time management and prioritization skills

Working Hours
- Shift: 8:30 AM – 5:30 PM (EST)
- Work Setup: Fully Remote
Additional Notes
- Prior experience in healthcare administration, documentation, or EHR systems is a plus, not mandatory
- Training and structured onboarding will be provided
