Job Description (JD) – Payroll HR OfficerPosition Title

Reports To

HR Manager

Job Purpose

To ensure accurate and timely processing of employee payroll while maintaining employee records, statutory compliance, attendance data, and payroll-related reporting. The Payroll HR Officer is responsible for salary processing, benefits administration, deductions, and maintaining confidentiality of employee information.

Key Responsibilities Payroll Management

  • Process monthly payroll accurately and within the approved timeline.
  • Verify attendance, overtime, leave, and shift records before payroll processing.
  • Calculate salaries, overtime, incentives, bonuses, commissions, and deductions.
  • Prepare final settlement (Full & Final) of resigned and terminated employees.
  • Process salary revisions, increments, promotions, and adjustments.
  • Ensure payroll complies with company policies and labor laws.
  • Maintain payroll records with complete confidentiality.
  • Reconcile payroll discrepancies before salary disbursement.
  • Coordinate with Finance for salary transfer and payroll funding.
  • Generate monthly payroll reports for management.
  • Monitor daily attendance through the HRMS/biometric system.
  • Review absenteeism, late arrivals, early departures, and overtime.
  • Maintain employee leave balances and update leave records.
  • Verify attendance corrections after departmental approvals.
  • Coordinate attendance issues with department heads.
  • Maintain updated employee personal and employment records.
  • Update new hires, transfers, promotions, confirmations, and resignations in HRMS.
  • Ensure all employee files are complete and properly documented.
  • Maintain employee bank account information for salary payments.
  • Issue salary certificates upon approval.
  • Process EOBI contributions accurately.
  • Process Social Security contributions where applicable.
  • Calculate income tax deductions as per applicable tax laws.
  • Maintain payroll records for statutory audits.
  • Ensure compliance with labor laws and payroll regulations.
  • Prepare employment letters, salary revision letters, and confirmation letters.
  • Support onboarding documentation for new employees.
  • Coordinate employee confirmation after probation completion.
  • Maintain employee probation tracking.
  • Update HRMS with all employee changes.
  • Prepare monthly headcount reports.
  • Generate payroll variance reports.
  • Prepare overtime analysis reports.
  • Prepare leave utilization reports.
  • Prepare attendance reports for management.
  • Maintain payroll MIS and dashboards.
  • Support HR budgeting by providing payroll-related data.
  • Respond to employee payroll-related queries.
  • Resolve salary discrepancies promptly.
  • Assist employees regarding tax certificates and salary slips.
  • Maintain confidentiality of employee compensation information.

Pay: Rs50,000.00 - Rs65,000.00 per month
