Our client Ajuris Advocates and Corporate Counsel is looking for a Office Manager in REMOTE.

Ajuris Advocates and Corporate Counsel is seeking a dedicated Office Manager with at least one year of experience to oversee daily office operations. The ideal candidate will have strong skills in office administration, document management, and proficiency in the Microsoft Office Suite, including Word and Excel. This role requires effective communication in English and the ability to manage a team of four persons to ensure smooth functioning and organizational efficiency. The Office Manager will serve as the central point of contact for internal staff and external partners, coordinating schedules, resources, and workflows to support the firms administrative needs.

The Office Manager plays a vital role in maintaining accurate and accessible office records, managing correspondence, and optimizing office procedures. This position requires leadership capabilities to guide and motivate team members while ensuring compliance with company policies. The manager will be responsible for fostering a productive and well-organized environment, handling procurement of office supplies, and supporting various departments by streamlining administrative processes to enhance overall productivity at Ajuris Advocates and Corporate Counsel.

Responsibilities

 

  • Supervise and lead a team of four office staff to ensure efficient administrative support and office operations.
  • Oversee office administration including scheduling appointments, managing calendars, and coordinating meetings.
  • Maintain comprehensive document management systems to ensure records are accurate, up-to-date, and easily accessible.
  • Utilize Microsoft Office Suite applications such as Word and Excel to prepare reports, spreadsheets, and correspondences.
  • Manage incoming and outgoing communications, including emails, phone calls, and physical mail, ensuring timely responses and follow-ups.
  • Coordinate procurement and inventory management of office supplies to maintain adequate stock levels and control expenses.
  • Implement and enforce office policies and procedures to maintain organizational standards and regulatory compliance.
  • Support staff by resolving administrative issues and providing guidance to improve workflow and productivity.
  • Facilitate communication between departments and external partners to enhance collaboration and operational effectiveness.
  • Prepare monthly reports on office activities and team performance for senior management review.
  • Organize office events, meetings, and training sessions to promote team development and company culture.
  • Ensure the office environment is safe, organized, and welcoming for all employees and visitors.
  • Monitor and track office expenses to stay within budget and recommend cost-saving measures when necessary.
  • Train new team members on office procedures, software tools, and company policies to ensure smooth onboarding.
  • Continuously seek opportunities to improve office processes and technology utilization to boost efficiency.
