About the Client: Careers Connect has been retained by a dynamic, fast-growing telecom services and wireless solutions provider to source for the position of Leasing Coordinator This organization supports high-volume, multi-regional networks and international retail operations.
Key Responsibilities:
1. Research Level Document Extraction & Data Integration – A level Expertise
- Perform research-level lease abstraction by extracting critical, high-stakes lease provisions including rent structures, lease tenure, renewal clauses, deposit terms, and contingent obligations.
- Integrate abstracted data into master tracking sheets and the company portal with zero-error tolerance.
2. Portal Administration & Compliance Updating
- Assist in overseeing end-to-end portal governance under my supervision, including document archiving, ACH (Automatic Clearing House) configuration, and system-level rent updates, ensuring alignment with reconciled financial data.
3. Financial Reconciliation & Discrepancy Analysis
- Assist in financial discrepancy analysis by performing cross-validations between landlord invoices, external ledgers, and internal accounting systems.
- Investigate complex rent variances and prepare comprehensive findings with root cause analysis upon cases referred by the manager for his review to ensure fiscal integrity and compliance.
4. Post-Reconciliation System Updates
- Execute post-reconciliation rent adjustments on the property management portal following managerial approval.
- Ensure precision in systemic rent modifications to maintain alignment between tenant billing cycles and landlord disbursements.
5. Centralized Documentation & Records Management
- Responsible for updating and maintaining data accuracy, while supporting centralization initiatives under the supervision of the Manager by organizing, digitizing, and cataloging leasing documents to establish a fully auditable, structured repository with controlled access protocols.
6. Landlord Relations & Stakeholder Communication
- Serve as a designated liaison for landlord correspondence, handling inquiries, invoice collections, discrepancy clarifications, and documentation coordination via phone and email with a high degree of professionalism.
7. Accommodation Sourcing & Representative Support
- Conduct targeted accommodation sourcing for representatives (reps) using platforms such as Zillow, realtor.com, and other listing services, ensuring alignment with company policies and budgetary parameters.
8. Leasing Email Inbox Management & Forward Workflow
- Oversee the central leasing email inbox, categorizing incoming correspondence and strategicall forwarding emails to Finance, Maintenance, Legal, and other relevant departments to ensure operational efficiency.
9. Ad-Hoc & Strategic Support
- Execute miscellaneous administrative and operational tasks as assigned by senior management to support the broader objectives of the leasing department.
Qualifications & Skills:
- Experience: Minimum 2 years of overall experience, with at least 1 year in leasing administration, property management coordination, or a closely related function.
- Education: Bachelor's degree in Business Administration (BBA), Finance, Accounting, Commerce, or a related relevant discipline.
- Communication Skills: Superior written and spoken English proficiency; demonstrated ability to communicate with landlords, property management, and internal leadership.
- Technical Skills: Advanced proficiency in advance MS Excel, Google Sheets and hands-on experience with property management portals/systems.
- Soft Skills: Strong analytical and investigative capabilities for discrepancy identification, attention to detail, proven ability to prioritize complex workloads, and a proactive approach to problem-solving.
