Job Summary

Our client, a leading Industrial Automation Services company located at Shahrah-e-Faisal, Karachi, is seeking a proactive and organized Assistant Manager - Administration to oversee daily administrative operations and ensure the smooth functioning of the office. The ideal candidate will possess strong organizational abilities, excellent communication skills, and the capability to efficiently manage multiple administrative responsibilities while supporting management and employees.

Key Responsibilities

  • Manage and coordinate day-to-day administrative operations to ensure efficient office functioning.
  • Maintain and organize office records, files, contracts, and confidential documentation.
  • Handle incoming telephone calls, emails, courier services, and official correspondence professionally.
  • Coordinate meetings, appointments, travel arrangements, and management calendars.
  • Prepare reports, letters, presentations, and other business documents as required.
  • Monitor and maintain office supplies, stationery, and inventory while ensuring timely procurement.
  • Coordinate with vendors and service providers for office maintenance and administrative support.
  • Ensure cleanliness, safety, and proper upkeep of office facilities and equipment.
  • Support HR and management in administrative activities, employee events, and office logistics.
  • Maintain proper filing systems in both physical and electronic formats.
  • Assist management in implementing office policies and administrative procedures.
  • Perform other administrative duties assigned by management.

Required Qualifications

  • Bachelor's degree in Business Administration, Management, or a related discipline.
  • 3-5 years of relevant experience in Administration or Office Management.
  • Experience in engineering, industrial, manufacturing, or technical services organizations will be an advantage.

  • Strong communication and interpersonal skills.
  • Excellent organizational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
