About the Role

PBS is seeking an experienced and detail-oriented Remote Dental Associate to support our US-based personal injury (PI) dental practice. This is a part-time, fully remote position allowing you to work from home while contributing meaningfully to patient care coordination, clinical documentation, and insurance management workflows.

The ideal candidate brings deep knowledge of dental practice operations, personal injury protocols, and proficiency with Open Dental practice management software. You will work closely with our clinical and administrative teams to ensure accurate documentation, seamless scheduling continuity, and compliant billing practices.

Core Responsibilities

Clinical Documentation & Records Review

  • Review all personal injury (PI) patient routers thoroughly and accurately
  • Enter treatment codes into Open Dental with precision, in compliance with CDT coding standards
  • Construct detailed treatment notes for each patient visit and add them to the tracker for team review
  • Review all medical records, emergency room records, and X-rays relevant to PI cases
  • Provide diagnosis codes in advance of surgery days to support clinical preparation

Scheduling & Patient Continuity

  • Review the PI patient schedule to confirm all active patients have a continuing treatment appointment booked
  • Flag patients without upcoming appointments, add them to the tracker, and notify the designated coordinator
  • Identify missing routers and coordinate follow-up with the appropriate team members
  • Update the potential IV surgery patients list as new routers are shared with the team

Billing & Reporting

  • Pull monthly reports from Open Dental to verify that all treatment rendered has been correctly entered and billed
  • Cross-reference treatment entries against clinical notes to identify discrepancies or unbilled procedures

Insurance & Administrative Support

  • Draft and review appeal letters, IME response letters, adjuster correspondence, and other insurance-related communications
  • Complete and submit insurance questionnaires accurately and in a timely manner
  • Verify and check Uber ride coordination for PI patients attending appointments

Required Qualifications

  • Licensed dentist with a minimum of 5–7 years of clinical and/or administrative experience
  • Prior experience working remotely for a US-based dental or healthcare practice
  • Proficiency in Open Dental practice management software (required)
  • Strong working knowledge of personal injury dental case workflows and documentation standards
  • Familiarity with dental treatment coding (CDT codes) and insurance billing protocols
  • Ability to draft professional correspondence including insurance appeal letters and IME responses
  • High attention to detail with strong written and verbal communication skills in English
  • Ability to work independently, manage multiple tasks, and meet deadlines in a remote environment
