United Bakery is seeking a dedicated Office Administrator with at least one year of experience to join our team. This role is critical in ensuring smooth office operations and efficient management of daily administrative tasks. The ideal candidate possesses strong skills in office management, data entry, effective communication, vendor management, stock issuance, and store keeping. The Office Administrator will oversee and coordinate activities involving office resources and supplies, ensuring that stock levels are maintained appropriately. This position requires proficiency in computer software and hardware to support organizational functions seamlessly. Additionally, the Office Administrator will manage a team of 50 individuals, providing leadership and support to maintain productivity and a positive work environment.

In this role, you will serve as a central point of contact for various administrative needs, facilitating communication across departments and managing vendor relationships to secure necessary supplies and services for the bakerys operations. You will be responsible for maintaining accurate records, performing data entry tasks with precision, and implementing organizational standards to improve efficiency. The successful candidate will demonstrate excellent organizational skills, the ability to multi-task under pressure, and a proactive approach to problem-solving. Your leadership in managing the team and coordinating office operations will contribute significantly to the smooth functioning of United Bakery's administrative processes.
Responsibilities
 

  • Oversee daily office operations including managing office supplies and maintaining stock levels.
  • Coordinate vendor management activities, negotiate contracts, and ensure timely delivery of services and supplies.
  • Lead and manage a team of 50 staff members, providing clear guidance and support to foster a collaborative work environment.
  • Perform accurate and timely data entry, maintaining organized records to support all administrative functions.
  • Monitor and maintain office equipment, ensuring proper functioning of computer software and hardware.
  • Develop and implement effective office procedures and processes that enhance operational efficiency.
  • Handle store keeping responsibilities including stock issuance and tracking inventory to prevent shortages or overstocking.
  • Facilitate communication across teams to ensure smooth coordination and information flow.
  • Schedule and coordinate meetings, appointments, and internal events to support business operations.
  • Ensure compliance with company policies and relevant regulatory requirements in all administrative practices.
  • Provide support for ad hoc projects as required to support the bakerys growth and operational goals.
