Own day-to-day financial operations across our finance and accounting portals: accounts payable, expense management, bank and card reconciliation and bookkeeping, to a clean monthly close.
Track cash, runway and budgets, and prepare the finance inputs to our management, board and investor reporting. Manage banking operations and our external accounting firm: payments and bank relationships, and the books, ensuring accurate accounts, a timely close and compliance.
Support the fundraising process: provide the financial and operations inputs we need (data room, financial and operating data), as required.
Own EoR and contractor budgets and our technology and cloud invoices (AWS, SaaS), always finding smarter, more automated ways to handle them. Support reporting and the leadership team.
Prepare the financial inputs and packs the COO needs for our operating cadence and Monthly Business Review (the COO owns the cadence and business reporting); partner closely and keep the data clean.
Be the dependable back-office backbone the leadership team can rely on, owning the finance and operations administration. Manage vendors, EoR, suppliers and contracts
Own our vendor, supplier and EoR relationships end to end: onboarding, contracts, renewals, invoicing and performance.
Administer our contracts and agreements, for both vendors and customers (the CEO and COO lead negotiation): keep the contract repository, signatures, renewals and key dates in order.
Provide commercial management support: keep our CRM (HubSpot) clean, run pipeline and activity reporting, prepare proposals and deal documents, and help with EoR onboarding and basic people-ops as we grow.
What success looks like
First 6 to 8 weeks: a clean monthly close, banking and the external-accounting relationship in hand, EoR / vendor admin and contracts under control, and the finance load off the COO.
First 3 months: you reliably deliver the finance inputs and packs the COO needs for reporting and the MBR, with runway and budget tracking the team can rely on.
By 6 months: the finance and back-office backbone runs without anyone chasing it, and you are ready to take on more as we scale.
What you'll bring
Required
8+ years in operations, finance or business-operations roles, including senior or head-of-function experience, ideally in high-growth SaaS, a scale-up or professional services.
Hands-on financial operations administration (a must): Xero or similar, accounting, accounts payable, reconciliation, bookkeeping, P&L operations, budgeting and management or board reporting. You are comfortable owning the numbers.
Accounting experience is a must: you will manage our banking operations and our external accounting firm, so a solid accounting grounding is required (a qualified or part-qualified accountant is an advantage).
Commercial / sales-operations exposure in a B2B environment: CRM reporting (HubSpot or similar), pipeline reporting and proposal / deal-document preparation.
A trusted operator: discretion, judgment and the ability to run things without being directed, having been a right hand to founders or executives. A versatile, roll-up-your-sleeves startup mindset is essential.
Vendor, EoR and contract-management experience; CRM literacy (HubSpot preferred); excellent Microsoft 365.
