Job Summary

We are seeking a professional and customer-focused Front Office Executive to join our healthcare team. The ideal candidate will be responsible for managing patient appointments, coordinating schedules, handling inbound and outbound calls, and ensuring a seamless patient experience. This role requires excellent communication skills, strong organizational abilities, and the capacity to work efficiently during evening and night shift hours.

Key Responsibilities

  • Manage and schedule patient appointments accurately and efficiently.
  • Handle inbound calls from patients regarding appointments, inquiries, and service information.
  • Conduct outbound calls for appointment confirmations, reminders, follow-ups, and patient assistance.
  • Perform no-show and cancellation follow-up calls to reschedule appointments and optimize provider schedules.
  • Execute patient outreach and campaign calls to promote services and enhance patient engagement.
  • Coordinate with healthcare providers and internal departments to ensure smooth scheduling operations.
  • Maintain accurate patient records and update appointment information in the system.
  • Address patient concerns professionally and escalate issues when necessary.
  • Ensure high levels of patient satisfaction through excellent customer service.
  • Support administrative and front office functions as assigned.

Qualifications & Requirements

  • Relevant experience may be considered in lieu of formal education.
  • 1–3 years of experience in a front office, customer service, or healthcare administration role.
  • Excellent verbal and written communication skills.
  • Strong telephone etiquette and customer service orientation.
  • Proficiency in Microsoft Office and appointment scheduling software.
  • Ability to multitask, prioritize responsibilities, and work in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Willingness to work the assigned shift of 6:00 PM to 3:00 AM.
