Job Description

Staff Kingdom seeks a detail-oriented and proactive Administrative Assistant to support daily office operations and ensure smooth communication within the company. The ideal candidate possesses excellent organizational skills and is adept at handling various administrative tasks such as email management, data entry, document preparation, and meeting coordination. This full-time role requires a minimum of one year of related experience and intermediate qualifications. The position demands reliability with a stable internet connection and electricity backup, as well as consistent video presence during Zoom meetings throughout the work shift to maintain effective virtual collaboration. The Administrative Assistant will play a crucial role in supporting a team of 15 persons, helping to enhance overall office productivity and fostering efficient teamwork. This role involves managing multiple forms of communication and documentation using tools such as Microsoft Office Suite and Google Docs. The successful candidate will be comfortable drafting professional emails, preparing reports, and organizing both digital and physical files. Additionally, the position supports basic marketing and online tasks, contributes to seamless virtual meeting coordination, and serves as a key point of contact between the team members at Staff Kingdom. Strong customer service skills are essential to ensure positive interactions internally and externally.
Responsibilities
 

  • Provide comprehensive administrative support to the team and management to facilitate daily operational activities.
  • Manage and organize email correspondence professionally and efficiently using Gmail and Microsoft Outlook.
  • Draft, format, and proofread emails, documents, reports, and presentations to maintain clear and professional communication.
  • Perform accurate and timely data entry to update records and databases using Microsoft Excel and other relevant software.
  • Prepare, maintain, and organize digital files and documents ensuring easy accessibility and security.
  • Coordinate and schedule virtual meetings using Zoom, ensuring all participants are informed and prepared.
  • Attend all scheduled virtual meetings with video on to contribute actively and effectively to discussions.
  • Assist with basic marketing activities including online research, content preparation, and updating social media or company platforms as directed.
  • Serve as a liaison between team members, providing timely communication and facilitating collaboration.
  • Maintain office management tasks including tracking supplies, troubleshooting administrative issues, and supporting workplace organization.
  • Ensure compliance with company policies regarding remote work, including maintaining reliable internet and electricity backup during work hours.
  • Support customer service efforts by responding to inquiries and providing appropriate information or directing requests as needed.
  • Monitor and improve administrative processes to enhance team efficiency and workflow.
  • Train and support staff within the team of 15 persons to streamline administrative functions and promote teamwork.
  • Maintain confidentiality and security of sensitive company information and documentation at all times.
